It was agreed to have 2*2-hour on-line rehearsals in early April – followed by a physical rehearsal on Day 1 of the meeting at OU.
Two rehearsal dates and agendas will be proposed based on availability through a doodle.

Please fill this in by COB this Friday: 15 March so that dates and agendas for the two on-line rehearsalas (2 hours each) can be fixed early next week.
Note:
* When scheduled, you will only need to present your WP in one of the two one-line rehearsals - but you will be welcome to attend both if you have time. Further instructions and templates to prepare presentations will also follow.
* The agenda for the review is attached for information only (the two on-line rehearsals will cover all slots but it is not necessary to have them in the same order as that on the formal attached agenda).

I’ve sent an inquiry about open access for our cluster workshop to the MIS4TEL conference, and they informed that their series of Springer is compatible with Green Open Access. The Licensee grants to the Author (i) the right to make the Accepted Manuscript available on their own personal, self-maintained website immediately on acceptance, (ii) the right to make the Accepted Manuscript available for public release on any of the following twelve (12) months after first publication (the "Embargo Period"): their employer’s internal website; their institutional and/or funder repositories. Accepted Manuscripts may be deposited in such repositories immediately upon acceptance, provided they are not made publicly available until after the Embargo Period.
So we can upload the article on own personal website and can publish on public repositories (institutional or funder owners) with an embargo period of 12 months. In those cases, we have to mention the link of the publisher using the DOI.
They can explore other options for the publication, but they think that this conditions are enough in terms of EU funding’s requirements and it is better to publish under Springer because the series is indexed in Scopus directly.

Just one comment regarding this second workshop: As you know, EU funding requires publishing project results in Open Access.
Although we can all access the previous workshop book and chapters without charge via our institutions, apparently they are not fully in Open Access and we wonder if this could be feasible for this second one.

* Local support for installing and managing the reviewing site of the submissions.
* Opening of the workshop session if it includes at least 4 accepted presentations.
* Synchonization with MIS4TEL agenda and coordinated deadlines for workshops.
* 12 pages per paper, published at LNNS Series of Springer, if acceptance rate under 60%.
* Duration: X slots of 2 h each for 4 to 6 papers each, with maximum of 3 slots.
* Standard equipment and local support all along the workshop.

Looking again at the project objectives, we noticed Obj. 4. referring to
building a Network of Schools
So we decided to create an Excel database where we should list all the
schools that showed interest in the project and use this list to create
this network
It doesn't matter if they implemented interventions or not. They can be
schools that participated in the training or just expressed interest in
being informed about project news. What do you think?

This is a reminder that we will need you to fill in the feedback template for the "guidelines and framework" by next Tuesday (5 March).
We asked for this at the OMT meeting in December with a deadline at the end of January, but it was not as urgent as other tasks. However, we will report it in the technical report and then we will possibly need to present some findings in the upcoming review meeting.

In the same folder, there is a questionnaire for the framework, we plan to try and get some responses from networks, before the mid-term review, but it is not urgent for you to take action now.

Thank you to those who reviewed and left feedback on the surveys for
school students. I have worked through and responded to all comments -
feel free to continue the discussion on any specific points.* If you have
not yet reviewed - please do so by the end of today.*
We are now getting ready to send the revised surveys to 4 children, aged
11/12 (2 in the UK and 2 in Ireland) to gauge whether they are easily
understood by our youngest possible students and how we might rephrase
certain items. The latter is a situation I am keen to avoid as we are using
validated surveys and so changes may require re-validation. However, we
will make a decision on whether a) that will be a useful additional task
and b) feasible when we get the responses back from our young testers.
By the end of the week, we expect to have the final versions of the surveys
available to download for those who are planning on administering the
survey via paper. The Qualtrics version should be ready at the same time.
Tasks for you:
1) If you require the *online version* of the survey to be translated,
please let me know and I will prepare the files for translation to be sent
to you.
2) Once you have a translated version of the survey, please take a moment
to find 1 or 2 local volunteers who will read through the surveys to check
that they understand them the way we understand them - as mentioned before
there are many ways in which translation can change the way an item is
interpreted. You need to *note where challenges with translation arise*, at
the stage of initial translation, testing or even out in schools. And we
will report these in the deliverable where relevant.
