Dear all,
We found out that there are 2 different things mentioned in the proposal
(attached) regarding the partners who will do pilot school interventions
in Year 1
On page 11, *Cycle 1 descritpion,* i.e. Y1 , writes that "The evaluation
(WP7) will take an in-depth look at the implementation of Exten.(D.T.)2
activities *in two classrooms in each country**.*"
On page 32, *WP5 Task 5.2*, writes that "[...] implementation of pilot
interventions by *1-2 partners* in a school setting. It will engage a
small number of students (~*100 students*) for the initial testing of
Exten.(D.T.)2 technologies (WP4) and resources (WP3)."
So we have to decide what we will do to reach the numbers and stick with
what we have promised
Regardless the above, it is probably a good idea that each partner does
*at least one small pilot intervention *for this year, e.g. 1 teacher
and *8-10 students*, for the following reasons:
1) If all partners are involved in year 1 piloting they will provide
valuable feedback on the evaluation, the intervention process and the
technologies which will then be a strong baseline for designing year 2
tools and resources
2) With piloting, partners will develop the necessary experience and
background for year 2 implementations, which are full studies and with a
much higher number of students. Otherwise we may face the issue of year
2 turning to be the pilot phase for some partners instead of a full study.
3) We don't know if the reviewer and the PO will notice that so, it is
better to stick with the scenario that promises the most, i.e. all
partners do piloting, rather than the less.

Fyi: We have heard from the EC that the project augMENTOR is now also funded as part of the call topic and collaboration is encouraged.

Next OMT meeting – Friday 13 January 13.30-15.30 CET.
Further collaboration with our sister projects can be discussed at this meeting.
The agenda currently includes the regular updates from the coordinator and WPs 2-8; monitoring of Actions/To Dos from previous meetings - including the Glossary; Ethics (first meeting of Ethics Board & input received/required from WP Leaders); Upcoming deliverables, milestones and review of risks
There will also a point on interdependencies. For this, as a heads up, we will be asking each WP Leader to prepare a slide - e.g., identifying what they think is working fine, and any risks they have identified.
If you would like to add anything further on the agenda, please let me know by the end of Monday
A final agenda will be distributed on Tuesday.

Dear all WP leads
In early-mid January we will have our first meeting of the ethics board
including Johanna and our independent advisor Adam. As neither attend the
OMT meetings and there is little documentation capturing developments thus
far, I would like each WP lead to prepare either a 1-2 page document
(bullet points preferable over prose) or short video (like Sofia did for
the OMT a few months ago), outlining what has been done already in the WP,
what is planned between now and September and detailing any ethical issues
you have identified within your own work package or the project more
broadly. This should include 1) ethical issues that would be common in any
project (e.g. informed consent and data storage which we should all know
how to deal with through our training as researchers and GDPR) 2) project
specific ethical issues (e.g. such as how data from the LA system might be
used to inform teachers about students) and 3) emerging issues (e.g. the
need for retrospective ethical approval). I would also like you to include
any country specific regulations that might be relevant. Finally, if you
have any specific questions for the ethics board, please include these in
your email to ensure they are all recorded and addressed.
Please note, the purpose of the ethics board is to support the project and
is not an ethical review committee.
Send me (and cc Jake) your document or video by the 7th January, please.
